Define your scope of work (SOW)

You'll start with a phone call to discuss what you need to see DocuXplorer perform to feel confident partnering with us. Remember, this is a proof of concept, not a complete buildout of your system.


Example SOW:

  • Installing DX on your server or the DX Private Cloud
  • Building a segment of your taxonomy hierarchy
  • Migrating a sample of files
  • Scanning and indexing a sample of files

Set your timeline​​​​​​​

 Based on the SOW, we'll estimate the length of the Pilot. Pilot Programs are packaged by the week and include a minimum of 5 hours of expert consulting and training time. Typically, Pilots last 1 to 2 weeks. We'll send you an Order Form to sign, confirming the SOW, pilot length, and your license subscription quote.

Accept or reject

At the end of the Pilot, your order form will be executed, and we’ll waive your upfront onboarding costs! If we’re not the right fit, you can terminate your order form at any time during the Pilot.

What does a Pilot cost?

The length of the Pilot is determined by your required Scope of Work. You will receive free access to the software for unlimited users, plus five hours of expert consulting time per five business days to accomplish the SOW. Unused hours do not roll over to the next week. Additional hours can be purchased by the hour.

If you would like to perform the Pilot on DX's Private Cloud server, you can opt in for hosting. This is limited to 5 DX licenses during the Pilot.

What happens after the Pilot?

On completion of the Pilot, your order form will be executed and payment for your subscription will be due. Once payment is made, your licenses will become active and your Account Manager will reach out to walk you through the next steps as part of our Onboarding Program.

Finish Your Setup
​Your dedicated DX Advocate will help identify what is left to complete to finalize your DX setup and project manage those next steps.

Adoption Training
​It takes 7 weeks to develop a habit. Your DX Advocate will check-in weekly to understand if your team is working around your new process and determine if its a training issue or an opportunity for improvement.

Continued Success
Quarterly check-ins with your Advocate ensure you're taking full advantage of the tools you have access to and let you know about new features that are regularly added. They will be your go-to contact for any questions you have.

Pilot Program FAQ

 Do you offer a free trial? 

We no longer offer unsupervised trials of the software. The Pilot Program was designed to provide a hands-on, guided proof of concept so you quickly understand the effectiveness of the software and confirm it meets your individual requirements.

 How long do Pilots last? 
Typical pilots are completed in 1-2 weeks based on the scope of work you require.
How much does the Pilot Cost?​​​​​​​ 
​Pilots are billed at the end of each week (5 business days) for a total of 5 consulting hours at $175/hr. Unused hours are not reimbursable and do not roll over to the next week. Additional hours can be purchased for $175/hr.
How is the Pilot hosted?​​​​​​​ 
​You can install DX on your own server on-premises or we also offer a hosted version on your own Private DX Cloud Server. The hosted option is billed monthly and can host up to 5 concurrent DX licenses.
What is the order form?​​​​​​​ 
​The order form is a signed contract that states the contract length, price, and start and end dates. It is signed in order to begin the Pilot Program. The order form can be revised or canceled at any time during the Pilot Program. You will be invoiced for the Order Form amount at the completion of the Pilot Program on the subscription start date stated on the order form. You are responsible for weekly Pilot Program payments until your order form is paid or canceled.
What if I decide DX is not the right solution for my company?​​​​​​​ 
​You can cancel your order form at any point during the Pilot Program.
What if I want more help finishing my taxonomy or building a workflow?​​​​​​​ 
​Once your DX subscription is active, you can purchase additional taxonomy sessions, workflows, and templates on an as-needed basis. Check out our consulting and support price sheet.
Do I have to pay for onboarding if I complete a Pilot?​​​​​​​ 
​No, the onboarding program fee is waived if you complete a pilot. Any custom projects will be scoped and quoted on an hourly basis.
What is the difference between users and concurrent licenses?​​​​​​​ 

​Users are the number of people accessing the software, each with their own permission settings and custom profiles. Concurrent licenses are the number of users that can be logged into the software at the same time. We find most businesses require DX licenses for 30-60% of the total number of users.
